About the Role
The Administrative Support Assistant will play a key role in supporting the daily operations of bound4blue’s China entity, based in Suzhou. This position provides hands-on administrative, office, and coordination support to ensure the smooth functioning of the local office and a positive experience for employees, visitors, and international teams.
This is a junior to early-career role, ideal for someone organized, proactive, and eager to grow in an international, fast-paced environment. The role will work closely with China Operations, Finance, HR, and the Spain-based teams, acting as a reliable point of support for both local and global stakeholders.
Responsibilities
Office management and daily operations
Support the day-to-day management of the Suzhou office, ensuring a well-organized, safe, and welcoming working environment.
Coordinate office supplies, basic facilities needs, and local service providers.
Act as a first point of contact for office-related requests from employees and visitors.
Administrative and operational support
Provide administrative support to Finance and HR teams, including document preparation, coordination, and follow-up.
Support employee onboarding processes, including workspace setup, access coordination, and basic administrative documentation.
Coordinate IT equipment requests and liaise with internal or external IT support when needed.
Coordination and internal support
Support the organization of visits from Spain-based and international colleagues, including logistics, agendas, and local coordination.
Assist in organizing internal meetings, team activities, and engagement initiatives.
Support internal communication and coordination across teams when required.
General support
Assist with ad hoc administrative tasks and operational needs as the China organization continues to grow.
Ensure accurate record keeping and basic documentation management.
Requirements
1–3 years of experience in an administrative, office support, or similar role.
Comfortable working in an office-based role in Suzhou.
Intermediate level of English; Mandarin is required.
Strong organizational skills and attention to detail.
Proactive, service-oriented mindset with a willingness to learn.
Ability to work well with different teams and cultural contexts.
